Photo Submission Guidelines for Awards CeremonyAll Categories
Please can all finalists provide up to 5 full colour images that best represent you.
We are looking for a headshot image, alongside additional ‘action’ images of the
finalist in action (preferably demonstrating something highlighted in your finalist citation). It is best to send a few options for us to select from, we may use one or more of these leading up to and during the event. organisation Logos transparent high quality. PGN preferred.To ensure your photos looks great on the big screen and/or programme during the event,
please follow the guidelines below:Image Quality and Format:
Submit a high-resolution 300 DPI image for the best clarity (JPG & PNG).
The image should be sharp, clear and high quality - not pixelated or blurry.
No screen shots – please provide original image
Please do not crop the image.
Some cameras and phones downsize images by default to allow easy emailing
so please ensure you are sending the highest quality option available to you.
Framing & Composition:
Headshots should be from the shoulders up, with your face clearly visible and centred. Avoid distracting backgrounds or cluttered environments.
Composition of the ‘action’ images is important. They should show good
examples of what you’ve been nominated for in the context of the award
category. This could be of the team involved or representing the work you
have been doing.Photos should be landscape orientation.
Lighting:
Ensure the photo is well-lit with no harsh shadows or overexposure.
Make sure your face is evenly lit with no strong backlighting or shadows.
Avoid distracting accessories (e.g., hats, sunglasses).
File Naming:
Name your file as: [Finalist Full Name]_[Award Category]_Image 1_Headshot.jpg
Example: JaneSmith_ YoungPeoples_Image1_Headshot.jpgFollowed by Image_2 etc for additional photos
Example: JaneSmith_YoungPeoples_Image2.jpg
JaneSmith_YoungPeoples_Image3.jpg
JaneSmith_YoungPeoples_Image4.jpg

Descriptions:
· Please include a short description for each photo (except headshot) in your email, explaining who/what where the photo portrays for each file name.
Example:
SarahWhite_AwayFromHome2.jpg = Sarah volunteering at her local community centre with other family members at RAF Akrotiri.Deadline:
Please submit your photos by 01/02/2026.
Copyright & Permissions:
By submitting images to The Partner Employment Working Group CIC T/A Celebrating Forces Families you agree that any such images are provided copyright-free to allow us for use during the awards, and for promotional purposes pre and post awards.

Please note that any images supplied may be used in our press releases and may therefore appear in the media. We would urge you to ensure you hold any required permission before submitting images to us.
Please ensure any other individuals pictured in your submissions have given their consent before you send, or if they are under 16 that parental/guardian consent has been obtained.
Photos that do not meet the required standards my be rejected, and we may not be able chase for replacements.
